If you run a business of your own, you are likely to store your accounting inforâ€" mation in your computer, at a minimum. â€" Product designs, marketing material, and procedural documents can be critical to your busiâ€" ness health as well. Backing up your files is the only safe way to ensure that you don‘t lose someâ€" thing when the inevitable happens to your computer system. Many newer sysâ€" tems come with a writeable CD drive installed. Operatâ€" ing systems like Windows XP make the process of "burnâ€" ing a disc" {committing the files to the recordable CD media) as easy as dragging and dropping files. If you are using a different operating system, there are programs that make the process just as easy. The software is often supplied with a writeable drive if you purchase one separately from your sysâ€" tem. DVD writeable hardâ€" ware is becoming cheaper now and also allows a much larger storage capacity. In an office environment, network backup is a preferred setup, where files are copied across the network from servers and desktop systems on a scheduled basis, and then backed up from one system. When drawing up your plan, consider what data or files are most important to your business or in your personal life. If this seems overwhelming, perhaps you could take the "Clean Sweep" approach. On this television show, the hosts help two people empty the entire contents of two of their rooms onto their front lawns, and then decide what to keep and what they can do without. Take an invenâ€" tory of how you use your computer, and record what you save over the course of a week or month. You need to know what data is imporâ€" tant and what is expendable before you can prioritize your backups. Do the files have a lifespan (such as tax documents) or are they timeless (like family phoâ€" tas)? Consider not just files, but configuration informaâ€" tion. A record of major changes that you have made to your system can go a long way to rebuilding it after a crash. A second backup copy of your files stored in a locaâ€" tion outside your home or office might be a good idea as well. This "offâ€"site" storâ€" age is commonplace in large companies as part of their disaster recovery plan. In the unlikely event that your office or home was destroyed by a fire or a natuâ€" ral disaster, you would still have a copy of your imporâ€" tant files. For your home files, you could try keeping your backups at a relative‘s house. A firebox might be a good alternative, but do some research ahead of time as backup media can be highly temperature sensitive and not all fire boxes are rated for keeping their contents cool. For business backups, there are companies that you can contract to store your backups. Also consider the "churn" that your files might have. Do you change them reguâ€" larly like an address or phone list, or are they never modified like a photo or music recording? This will determine if you need to backup a once or on a reguâ€" lar basis. Backups are not the most glamorous of technology topics, but if there is any information stored on your computer that you might miss, chances are you will be thankful you made a copy when your system won‘t start that fateful day.
